Compensation: up to $6,800/month (based on client mix and utilization)

Position Summary
As a Virtual Assistant at ZumaZip, you will play a pivotal role in providing personalized administrative support to a portfolio of clients. You will work independently to execute a variety of business and personal tasks, while receiving dedicated guidance and support from an assigned Account Supervisor. This position requires proactive communication, attention to detail, and the ability to manage multiple priorities effectively.
You’ll be the primary point of contact for your assigned clients, ensuring their needs are met with accuracy, discretion, and professionalism. While this is a full-time role, around-the-clock availability is not expected. Availability during mutually agreed-upon business hours is essential.
Key Responsibilities
Administrative & Executive Support

Calendar management and scheduling (personal and professional)

Inbox and email management, including responding, organizing, and prioritizing

Document creation, transcription, and data entry

Drafting and managing standard business correspondence

Preparing agendas, taking meeting minutes, and delivering follow-ups
Project & Task Management

Monitor and track progress on key initiatives and deliverables

Maintain and update client documentation and task boards

Ensure deadlines are met and communicate proactively about any changes
Research & Purchasing Support

Conduct thorough research on travel, events, vendors, and other business topics

Manage expense reports and purchasing activities, ensuring accuracy and client satisfaction
Marketing & Communications

Provide basic social media support, including content scheduling and platform management

Assist with marketing and outreach efforts as needed
Client Relationship Management

Serve as the trusted administrative partner for assigned clients

Maintain accurate client profiles and preferences

Submit weekly usage and progress reports

Communicate clearly and promptly (within a two-hour response window during business hours)

Collaborate with Account Supervisors to ensure quality and consistency of service
Required Qualifications

Associate’s or Bachelor’s degree preferred
-
Minimum of 4 years of administrative experience, with at least 5 years supporting C-level executives (or equivalent experience)

Exceptional written and verbal communication skills

High degree of professionalism, reliability, and discretion

Strong organizational and multitasking skills

Self-motivated and capable of working independently in a remote environment

Typing speed of 50+ WPM with high accuracy

Reliable high-speed internet connection, computer, and phone
Preferred Technical Skills

Google Workspace (Docs, Calendar, Gmail)

Trello, Asana, or other task management tools

Slack or similar internal communication platforms

CRM tools such as Salesforce, HubSpot, or Zoho

Travel platforms (Concur, TripIt)

Social media management tools (Hootsuite, WordPress)

Familiarity with AI productivity tools a plus
Compensation & Structure
Virtual Assistants at ZumaZip operate as independent contractors (1099 status). Compensation is based on a percentage of the client’s monthly service plan. Monthly earnings typically range from $1,500 to $3,800, depending on client mix and plan utilization. After six months of successful tenure, VAs may be eligible for an increased revenue share based on performance and client retention.
